QuotBridgeWorkflow

Pilot discovery · We are validating the workflow, not offering a finished system.

Multi-line RFQs in. Reviewable quotes out.

QuotBridge is a proposed workflow for turning emailed bearing, belt and power-transmission enquiries into draft quotations from your own catalogue and price list — every line checked by your team before it goes out.

Concrete requests. Inspectable drafts.

Cases

Synthetic sample data and interface mockups. Pilot describes proposed scope, not production software.

An ERP-style PDF Anfrage

Purchasing can forward an ERP-generated request. This 40-line synthetic form illustrates a SAP-style document layout; it is not SAP output. ME51N is a purchase-requisition transaction, not an RFQ PDF standard.

Your catalogue and prices in

The wholesaler supplies authorised catalogue and contract exports. Manufacturer product data alone cannot establish the buyer’s net price. All numbers here are fictional.

The work between an enquiry and a quotation

The references are in an email. The catalogue is in Excel. Prices sit in a separate export. Your inside-sales team carries the context between them — and checks it again in the final PDF.

A proposed workflow, with your team in control

Receive an RFQ

Start with an email or a manually uploaded PDF or spreadsheet. Keep the source beside the extracted lines.

Match your catalogue

Find known references and approved aliases. Put missing or ambiguous variants in a review queue.

Apply your prices

Look up approved prices from your export. Check units, quantities and validity; never ask a model to invent a price.

Review and export

Your team checks every line and the commercial terms. Export the approved draft for sending through your existing systems.

Product preview

Illustrative product preview — not a live system

Synthetic German enquiry, fictional catalogue and sample prices. This example runs entirely in your browser; no RFQ is uploaded or processed by AI.

Less re-entry. More visible decisions.

Keep the source in view
Trace a draft line back to the original request instead of reconstructing how it got there.
Keep prices under your control
Use your catalogue and approved price records. Missing or expired data stays a visible exception.
Review the difficult lines first
Make uncertain variants explicit while keeping a final human check on every quotation.
Test a bounded change
Compare one repeatable workflow with your current tools before committing to broader integration.

Built around mechanical MRO wholesale

The initial pilot proposal focuses on independent bearing, belt and mechanical power-transmission wholesalers in Germany and Austria. Known part references, multi-line enquiries and existing ERP pricing are the starting point. Engineering selection and automatic substitutes are outside scope.

Also suitable for discussion: electrical component wholesalers with exact-part lists and usable catalogue exports. This is a secondary use case, not a separate product promise.

Fit the workflow around your existing systems

Recommended pilot architecture: a dedicated EU environment per company, with separate application data and backups. Self-hosted installation is available for scoping on request. Application hosting and AI processing are separate decisions.

Your ERP
CSV / XLSX
Dedicated EU environment
Approved model provider
Proposed data boundary: catalogue and price tables remain in the application environment. Minimum RFQ text or images may go to the approved model provider. EU hosting alone does not establish GDPR compliance.
In the pilot
Manual intake; catalogue and price import; reviewed PDF and CSV/XLSX export. No live ERP write connection or mailbox access.
Planned, subject to validation
Controlled mailbox intake and reusable ERP connectors. No delivery dates committed.
Custom work
Self-hosting, additional ERP formats, local inference and bespoke pricing rules require a separate assessment and quote.

A small pilot. A decision based on your data.

Pilot pricing, subject to scope. EUR excluding applicable VAT. Test offers for discovery, not a validated price list.

Four-week pilot

From €2,500 / 4 weeks

One catalogue, one price schema and one output template. Up to five reviewers and 100 RFQs / 2,000 lines. Includes bounded setup, training and evaluation. No monthly fee during the pilot.

Request a pilot conversation

Continue if it earns its place

From €500 / month

Company licence, updates, dedicated hosting and bounded support. Up to five users, 300 RFQs / 6,000 lines and two support hours per month. Same-scope setup is reused.

Request a pilot conversation

Different requirements?

Custom quote

Discuss data readiness, self-hosting or additional integration. Scope and costs are agreed first; no automatic overage charges.

Custom quote

No automatic conversion after the pilot. Continuing requires your explicit decision. Proposed monthly cancellation with 30 days’ notice, export and scheduled deletion; final terms are agreed before signing. No savings guaranteed.

From first conversation to a measured decision

  1. Discovery conversation

Walk through how you prepare quotes today and where existing tools already help.

  2. Requirements assessment

Check representative enquiries, usable exports, processing permissions and the budget.

  3. Catalogue and workflow setup

Agree one catalogue, price schema, output and benchmark.

  4. Deployment

Prepare the dedicated environment and approve the model-processing route.

  5. Testing and training

Check source lines, price provenance, exceptions and staff review on an agreed sample.

  6. Ongoing support

If you choose to continue, agree updates, support limits and the exit process.

Questions before a pilot

Is QuotBridge available as a finished product?

No. We are holding discovery conversations and proposing a bounded paid pilot. The preview illustrates the intended workflow; it is not production software.

Can it work with our existing ERP?

The proposed pilot uses agreed CSV/XLSX exports and imports. First we check whether your ERP already solves the problem. Live connectors are planned or separately scoped, not included by default.

Do we need to replace our workflow?

No replacement is proposed. Staff retain their existing sending and ERP processes; the pilot tests the intake-to-draft portion against your current approach.

Can we install it on our own servers?

Self-hosting can be scoped on request. Local AI inference is a separate requirement and may need additional hardware and validation.

What happens when a product match is wrong or uncertain?

Uncertain or missing matches go to manual review. Staff confirm references, variants, quantities and units. Similarity alone must never authorize a technical substitute.

Can it process German, French and Polish RFQs?

German and English are the initial pilot languages to validate on your documents. French and Polish support is deferred; the website currently offers English and German.

Do you send quotes automatically?

No. Every quotation requires human review. Staff send approved documents through their existing systems; the pilot has no autonomous sending or ordering.

How are GDPR and AI processing handled?

Before real documents are used, agree processing terms, authorized data, provider, region, retention and any transfer safeguards. A model may receive minimized RFQ text or images. Price tables are excluded from prompts; self-hosted software does not automatically mean local AI.

How much does implementation cost?

The test offer starts at €2,500 for a four-week bounded pilot after data readiness. Ongoing use starts at €500 per company per month if you explicitly choose to continue. Additional work is scoped separately.

Can we request custom features?

Yes, for assessment and a separate quote. We will first check whether a request fits the limited, repeatable workflow. There is no promise to build a general ERP or engineering system.

Is a long-term contract required?

The proposal is a four-week pilot with no automatic conversion. Continuing terms, cancellation, export and deletion are agreed before signing.
